Custom promotional gifts are usually developed in stages: define the purpose, select a suitable product, prepare artwork, confirm the branding technique, approve a sample and check the finished goods. Understanding each stage helps Hong Kong marketing and procurement teams avoid expensive revisions and event-day surprises.

1. Start with a useful buyer brief

Before a supplier can compare production options, a brief should answer five questions: who receives the gift, where it will be used, how many pieces are needed, what brand assets must appear on it and when the finished goods must arrive. A reference photograph is useful, but dimensions, colours and materials still need confirming.

  • Audience and purpose: conference delegate, employee, client or retail promotion.

  • Approximate quantity: Montegle enquiries generally start around 100 pieces, but the practical minimum varies by design.

  • Target budget: state whether it includes custom packaging and delivery.

  • Artwork: vector logo, brand colour references and approval contact.

  • Deadline: event date, destination and any staged deliveries.

2. Match material to everyday use

A tote bag for a trade exhibition and a ceramic mug for an office programme face different practical demands. Canvas weight changes how a bag hangs; a mug's shape affects both usability and branding space; electronic accessories need compatibility and safety checks. The right question is not simply which material looks premium, but which material works for the intended recipient.

For example, a lightweight canvas tote may be sufficient for brochures, while a bag intended for heavier documents may need stronger stitching, handles and fabric. These are specification decisions, not universal promises about any one product.

3. Choose a branding process that fits the surface

Screen printing, embroidery, laser engraving and full-colour printing produce different results. Screen printing can be appropriate for flat fabric areas and bold logos; embroidery adds a stitched texture but may lose fine details; engraving can create a permanent-looking mark on compatible metal surfaces. Material, design complexity, colour count and available print area all matter.

A tiny tagline that looks sharp on a computer screen may become unreadable on a small product. Request an artwork mock-up at the actual branding size, including placement and colour references.

4. Approve what can be checked before bulk production

A digital proof confirms layout but cannot prove the physical feel, print consistency or fit. Where appropriate, ask about an existing product sample, a branded pre-production sample or photos of the proposed finish. These are different approval tools and may involve different costs and lead times.

  1. Check product dimensions, materials and colour against the quotation.

  2. Check logo position, spelling, colour and minimum readable size.

  3. Check packaging and individual labelling if they are part of the order.

  4. Confirm who signs off the final production specification.

5. Understand the checks that matter

Quality control should focus on observable requirements: quantity, appearance, print alignment, physical construction, packaging and agreed functionality. For a tote bag that can mean handle attachment and stitching; for a branded bottle, lid fit and finish; for an electronic item, compatibility and relevant safety documentation where applicable.

A sensible purchase order records acceptable tolerances and what happens if goods fall outside the approved specification. Testing and compliance requirements depend on the product and destination market; ask the supplier which evidence is applicable.

6. Work backwards from the delivery date

A production estimate is not the same as a guaranteed delivery date. Time must also be allowed for briefing, artwork, sampling, approvals, manufacturing, quality checks, freight and any customs or receiving arrangements. Late logo changes can reset more than one stage.

Frequently asked questions

Can a logo be changed after a sample is approved?

Sometimes, but a late change may require a fresh proof, revised tooling or additional production time. Treat final artwork approval as a formal decision.

Is a digital mock-up the same as a production sample?

No. A digital mock-up shows intended placement. A physical sample allows a buyer to assess material, size and finish, subject to what was actually sampled.

What should I send for an accurate quote?

For a tailored quotation, email info@montegle.com with the item or reference image, estimated quantity, logo artwork, preferred delivery location and required date. Minimum quantities and lead times depend on the product and finish.
